Privacy Policy
This policy explains what ChangeSignoff collects, why we use it, and the choices available to you during the founding pilot.
1. Information we collect
We collect the account email and name you use to sign in; company profile details and logo you choose to add; client, job and change-order information you enter; verified client email, approval names and timestamps; privacy-safe hashes derived from IP and device identifiers; browser details; and basic service diagnostics such as request errors.
2. How we use information
We use this information to authenticate accounts, verify the client contact, provide the change-order workflow, deliver verification, approval, receipt and login emails, create approval records, flag approvals that may come from the contractor's device or network, support users, prevent abuse, diagnose errors and improve the pilot.
3. Service providers
We use vetted providers to operate the service, including OpenAI Sites and Cloudflare for hosting and database services, Resend for transactional email, and Spaceship/SpaceMail for our business email. They process information only as needed to provide their services to us.
4. What we do not do
We do not sell personal information. We do not use client or contractor data for behavioral advertising. We do not ask for payment-card information inside ChangeSignoff during the pilot.
5. Retention and deletion
We keep account, job and approval records while an account is active and for a reasonable period afterward for support, security and legal recordkeeping. Login codes expire after 10 minutes. You may request access, correction or deletion by emailing us. Some approval records may need to be retained when a contractor has a legitimate legal or recordkeeping need.
6. Security and backups
We use encrypted connections, signed secure session cookies, limited-access production systems, structured error logs and database recovery controls. No internet service can guarantee absolute security, so please do not enter sensitive information that is not needed for a change order.
7. International processing
Our providers may process information in countries other than your own. By using the service, you understand that data may be transferred and processed where our providers operate, subject to their safeguards and applicable law.
8. Children
ChangeSignoff is a business service and is not directed to children under 13. We do not knowingly collect personal information from children.
9. Changes to this policy
We may update this policy as the pilot evolves. We will post the new effective date here and provide notice when a change materially affects how we use information.
